Özet

The delivery of documents to provinces for exam organizations conducted within the scope of distance education involves serious logistical processes. Packaging, labeling, and tracking, which are traditionally carried out manually, can cause many operational errors such as incorrect packaging, incomplete delivery, and confusion. This study introduces a QR codebased digital tracking system developed to address these issues. Unique QR codes are printed on each exam document and shipping box, and handheld readers are used during packaging and shipping to match documents, boxes, and centers. The entire process can be digitally tracked through the system, and verification can be provided during the shipping and delivery stages. As a result of pilot applications and the rollout process, it was observed that the error rate, which was between 3% and 5% in previous years, was reduced to 0%, and approximately 40% time savings were achieved in the process duration. In addition, the delivery process has doubled in speed thanks to digital verification. User feedback also supports the reliability and practicality of the system. This study demonstrates the contributions of digitalization in exam logistics and serves as an example for institutions conducting similar operations.
